How we run an engagement
No discovery phases that last months. No deliverables that sit on a shelf. A clear sequence — from first contact to live system — with defined inputs and outputs at each stage.
First conversation
A 45-minute call with one of our senior consultants. You describe what you're trying to solve. We ask questions about your processes, data, and team. By the end, you'll have a rough sense of whether an assessment makes sense — and so will we.
This call is free. There is no sales script. If we don't think AI is a good fit for your situation, we'll say so.
- What you bring: a description of the problem or opportunity
- What you leave with: clarity on next steps and a rough timeline
- Duration: 45 minutes, remote
Readiness Assessment (2 weeks)
If the first conversation confirms a reasonable fit, we run a structured assessment. This is a paid engagement — not a free audit used to justify a larger sale.
We interview your operations, technology, and data teams. We review your existing systems, data volumes, and quality. We map the processes you want to improve and identify the gaps that would prevent AI from working.
- Two structured workshop sessions (2 hours each)
- Access to representative data samples (under NDA)
- Written report with findings, recommendations, and a prioritised use-case list
- A go/no-go recommendation — we do not proceed to strategy without this
Strategy & Roadmap (3–4 weeks)
Based on the assessment findings, we build a 12-month implementation plan. This is a working document — not a slide deck — that sequences initiatives by impact and feasibility, with ROI estimates anchored to your actual cost and volume data.
- Phased roadmap with milestones and decision points
- Technology recommendations (vendor-neutral, with rationale)
- Resource and team requirements for each phase
- Budget ranges for each initiative
Implementation (6–20 weeks, depends on scope)
We build the AI system with your team — not for them. Engineers from both sides work together from the start. By the time we deploy, your people know how the system works and can maintain it.
Timelines depend on data readiness and integration complexity. We don't start building until the data and access requirements are confirmed and in place.
- Weekly check-ins with a defined status report format
- Two review milestones before final deployment
- User acceptance testing with your team
- Production deployment and monitoring setup
- Handover documentation and training session
Ongoing support (optional, quarterly)
AI systems don't stay static. Models drift, business processes evolve, and new data changes what's possible. Quarterly reviews let us catch issues early and identify new opportunities without requiring a full re-engagement.
- Quarterly performance report against agreed metrics
- Model retraining if performance drops below threshold
- Access to our team for questions outside scheduled reviews
- Annual architecture review to assess new automation opportunities
Available only to clients who completed implementation with VectorVirtue.
